Enquiry Inbox System

Your inbox allows you to send emails to potential clients with a standard format. The emails you send with this form contain your message along with links and standardized information you store on this site.

You can use the Site Inbox for every villa you own on a site that has been paid for and has the checkbox called Use Site Inbox checked.

All Emails sent through this system contain the following information:

  • Message You Supply in "Respond Field"
  • Copy of original Inquiry from customer
  • Thumbnail of your Villa Primary Photo (if available)
  • Title and brief description of your villa
  • Standard content you provided for your Villa’s standard response.
  • Link to your villa page
  • Link to your Villa Website (if available)
  • Link to your Villa Virtual Tour (if available)
  • Copy of your Villa's Enquiry Response

Each time you send a response with this page, the email will be sent to your email address. YOU must then forward the email to the customer from your own email account. (This change in policy was enacted in February 2006 because our server is sending out so many emails that many ISPs are blocking our emails.) If these emails are not getting to your email account, you must make sure that your spam filters are set to allow emails from your Villas site (enquiries@lastminutevillas.net, enquiries@orlandovillaowners.com, etc). If your spam filters are set to allow these emails and you are still not getting the emails, you must contact your host or ISP and tell them that you need to be able to get emails from our server. If they will not accommodate, you will need to find a new email address to use that will accept emails from our server.

Navigation

Currently, this inquiry inbox allows you to display unread, read and responded (and deleted) inquiries. Checking the boxes at the top of the page and then hitting "go" will force the page to display any of the types of inquiries on the system that relate to your villas. Select the number of items you wish to display per page.

Note on Browsing Enquiries: If you only want to see enquiries that you have not read yet, you must check the "unread" option in the browse menu and click "go". If you have any other option selected, your inbox will display enquiries that match other types as well.

Updating and Responding

Please note that you can update any and all of the "read", "unread" and "delete" fields on a page at once. Anytime you click "Update > >" on any enquiry, all enquiries are updated on the page to the status you choose (read, deleted, etc).

You can set all status fields on the page simultaneously to "Read" or "Delete" by clicking buttons labeled "Mark All as Read" or "Mark All as Deleted" and then clicking an "update" button.

However, you cannot send a response at the same time you click "Update". Responses are done on an individual basis. Clicking "send" on any enquiry will respond to only that enquiry. It will not update any "read" or "delete" options you have set. And only one response is sent at a time. (This is intentional--there will not be a "Reply All" function because of the potential for abuse.)

When you've responded to an enquiry, it is automatically set at "read".

Color Coding

Each enquiry is color coded so that you can quickly see what areas the enquiry is for. The exact colors will depend on the preferences of the administrators of the site you are subscribing to.

More Information

DO NOT RESPOND TO ANY ENQUIRIES if you cannot meet the requirements of the enquiry! Doing so will increase the likelihood that emails coming from our site will be labeled as spam. This will decrease the effectiveness of online marketing for all Florida Vacation Home Owners.

Also, some owners have requested that we permit them to view their inbox without having to log in. This is not going to be an option because we respect the privacy of the vacationers using this site. Any method other than logging in has security risks that puts the contact information of vacationers at risk. Owners will always have to log in to use the Inbox. If this is inconvenient, consider receiving batch emails every couple hours (by unchecking “Use Site Inbox” in your Villa Details) or the RSS system.
